This is not an all-inclusive list and duties may be added and/or changed as needed to facilitate more effective and efficient office operations.
1.
Greet patients in a friendly, welcoming manner.
2.
Check in and check out patients.
3.
Assist patients with paper work as needed.
4.
Create new patient and established patient packets and keep front desk stocked.
Check patient packet supply each week and make more as needed.
5.
Collect appropriate copays, deductibles and patient payments.
6.
Answer incoming phone calls and direct them to appropriate person as needed.
7.
Add patients to current day schedule in practice management software.
8.
Schedule follow up appointments and appointments to review test results with patient.
9.
Enter and/or update patient demographic information in practice management software.
This includes copies of insurance cards and picture ID.
10.
Confirm patient appointments.
11.
Pull charts for scheduled patients and prepare them for clinic.
12.
Create new patient charts with appropriate paperwork.
13.
Retrieve incoming referrals from all sources and schedule patients as appropriate.
14.
Count cash drawer daily and record any discrepancies.
Report discrepancies to manager/administrator.
15.
File patient paperwork in patient charts.
16.
Check telephone messages each day if applicable.
17.
Notify Nurse/MA when patients arrive.
18.
Send office notes to referring Doctors when office note is completed.
19.
File completed dictation in patient charts.
20.
Check the mail daily if applicable.
21.
File completed charts back in the file room.
22.
Clean designated areas - lobby restroom, lobby, kitchen, front desk daily.
23.
Yearly move specific charts upstairs.
Pull charts that are ready to be shredded.
Follow record retention policy when pulling charts to be shredded.
